When a manufacturer supplies the largest DIY retail chains in the region, "just send us an invoice" is never that simple. Every chain has its own document standards, its own formats, and its own way of working — and each expects the supplier to fit into their process, not the other way around.
That was exactly the situation Belform faced when they came to us. Here's how we turned a fragmented, manual document exchange into a single automated flow wired straight into their Odoo ERP.
Belform is a Romanian manufacturer of acrylic bathtubs, shower trays and bathroom products, supplying some of the biggest DIY retail chains in the region. Those relationships came with a demanding requirement: orders, deliveries and invoices all had to be exchanged electronically, on each chain's own terms, and land directly inside Belform's Odoo ERP.
Left unsolved, that means one thing — people re-keying documents by hand, chain by chain, format by format. Slow, error-prone, and impossible to scale as volumes grow. Belform needed a partner who could connect them to every retailer without turning it into an endless integration project.
Each DIY chain required documents in its own format. A clear example is the "several orders → one delivery → one invoice" flow — a structure that doesn't map neatly onto a standard process and has to be handled precisely to avoid billing errors.
The obvious (and painful) approach would have been to change how Belform works to satisfy each partner, or to stand up a separate portal and integration project for every chain. Both options add cost, complexity and maintenance headaches — which is exactly what we set out to avoid.
Infinite IT Solutions connects suppliers to their retail partners — and our philosophy is simple: the supplier shouldn't have to bend to every retailer's rulebook. So instead of forcing Belform to adapt, we mapped each customer's process exactly, mirroring how every retailer already operates.
The result is one connection that links Belform to every retail partner, each in the format it mandates. No separate portal per chain. And when a new partner comes on board, our team adds them by configuring a mapping — not by launching a whole new project.
On the automation side, we wired the entire flow directly into Odoo so that orders and invoices no longer pass through human hands:
Data exchange runs uninterrupted, with good speed and no lag. And crucially, we did it without disrupting how Belform's team already works.
A technically perfect integration still fails if people don't trust it. So beyond the build, we ran workflow-presentation meetings to walk the team through the new flow, and provided prompt early support right after go-live. That combination is what turned a first-of-its-kind project into confident daily use from the start.
After go-live, the platform settled into stable daily operation — uninterrupted data exchange, an intuitive interface, and fast, accurate processing. The improvements were significant and measurable:
By feeding orders straight into invoices and pulling EDI orders automatically into the ERP, we cut Belform's manual line entry by roughly 90%. Invoices are taken over by the ERP automatically, and manual errors effectively disappear.
With our solution in place, Belform became the first company in its group to go live with DIY e-commerce document exchange.
"Infinite's approach was professional and the communication with our IT department was efficient, so the project was a real success — Belform became the first company in our group to implement EDI in the relationship with DIY customers." — Lilian Cazacu, Financial Manager, Belform
"The greatest long-term value is the 90% efficiency of the order-receipt process, the accuracy of the workflow and the elimination of errors. Important resources are freed up and can be redirected to add value to the products and services we deliver to our customers." — IT Project Lead, Belform
This is what we deliver to any supplier: documents move system-to-system in real time, errors vanish, and higher volumes or new partners are absorbed without extra headcount.
Integrating EDI across a demanding network of DIY retail partners — each with its own standards — and wiring it directly into the ERP was a high-stakes, first-of-its-kind project for Belform's group. We delivered it in production, with capacity that's more than sufficient for today's data flows and ready to scale with future volumes and new partners.
If your business exchanges orders, deliveries and invoices with multiple retail partners — and your team is still keying them in by hand — we can build the same single, automated connection for you.
